List of tasks for volunteers

If you volunteer for this area, you will be expected to work in the accreditation office, checking all official documents and identifications in order to make the accreditation process as fast and smooth as possible. Secretarial experience and language (English, French, German, others) will be a key aspect for this area.

If you volunteer for this area, you will be a key person in assistance to the panel of judges, provision of the communication among the judges and the secretariat, provision of the judges with necessary equipment and goods, provision of the communication among the secretariat, press center and other expert groups.

If you volunteer for this area, you will be involved in the logistics team. This team will be responsible for the setup of all the sport equipment (floors mats, tumbling tracks, trampets and landing areas); loading-unloading of the equipment / supplementary materials and goods; logistics support for all participants of the championships; cleaning of rooms of the sports complex; installation of promotional items, retail outlet for official merchandising and catering support.

In this area, we hope to find as well some experienced personal with tools handling. For example if some equipment essential for the run of the competition breaks down and needs to be repaired or replaced, it is the task of the tools team to solve this issue. It is therefore necessary to be fast, relatively solid and efficient.

If you volunteer for this area, it is expected that you have experience in managing Volunteers. Volunteers’ management refers to the process of creating systems for recruitment, training, engagement, and coordination of volunteers. Putting a proper volunteer management plan in place will help the organization of this European Championships speed up the progress of its operations, as well as achieve its objectives.

 

If you volunteer for this area, you and your team will be responsible for what generally looks presentable in the arena and gym, which is why you are expected to have a sense of order and be able to work focused and fast.

Plus, we need people to guide the audience up, check tickets, eventually and make sure there is good signage and good circulation among the public.

There will also be tasks in the days leading up to the competitions to prepare the arena before the gates are open to the public.

Delegations special stands will also be an essential management task as we need to ensure that public that have paid tickets have a place to seat during the event and that teams have a reserved area for them self’s where they manage to move around the place quickly in order to avoid delays in the competition. 

 

If you volunteer for this area, you will be responsible to assist the member of the Board from the international gymnastics federations (European, International, others), therefore will be your responsibility to oversee and coordinate all arrivals and departures of this special guests (VIPs, SAs etc). Translation services, escort to the location of the events, running of private errands of the VIP guests are among the services we shall present to this persons.

Also you will be responsible to assist all the national guests that will visit us during the event, being the Government Officials, Ambassadors, Sponsors and other guest that for their importance will be designated as VIP guests.

If you volunteer for this area, you will contact with FIG (International Gymnastics Federation) and EG (European Gymnastics) staff as well as the technical committee members, meaning that you should provide special assistance throughout the event. These persons are the event responsible internationally therefore, all assistance shall be given at all times and in an effective and fast mode.

If you volunteer for this area, you will be the first contact participants will have when they arrive in Luxembourg. It is therefore important that you are welcoming, helpful, smiling and that you have a good command of English. You will be in close contact and cooperation with volunteers in the field of transport. You will the assigned to a country (team delegation) and whenever possible you should escort the team during travel around the city, to, and from official venues.

If you volunteer for this area, you will have to assistance teams and officials in registration and settlement at the places of accommodation, as well as monitoring of the quality of hotel staff reporting to the LOC any situations that should be address with the hotel managers or the team’s head of delegations. Experience in the hospitality area will be a plus for this position.

 

If you volunteer for this area, your role will be to support the running of the official ceremonies and specially award ceremonies, one of the most critical areas in any event. Therefore, we need volunteers for many different tasks, such as overall responsibility for all ceremonies and medal presentation, responsibility for timing and control, and some to follow and guide the winning gymnasts and the official representatives who distribute the medals.

In addition, we will need medal bearers and some will be needed to organize the flag raising, flowers and gifts delivery to the winners.

 For the opening and closing ceremonies, specific functions will be assigned.

If you volunteer for this area, your will be responsible to drive around the city of Luxembourg delegates and VIPs to and from all the event venues. Among other things, you will be responsible to pick up officials at the airport and official venues (hotels or other destinations). It is expected that at a minimum you have a driving license and that you are helpful and accommodating. If you do not have a driving license or you don’t feel ok in driving around the city with minivan, you will be allocated to the transportation lines, supporting the teams in getting the right line to their hotels or venues that they might need to go.

If you volunteer for this area, you will be primarily responsible for catering and replenishing in VIP areas and meeting rooms as well as in the Field of Play. For this area, we expect you to have an overview and a sense of order and cleanliness and experience in this field in most appreciated.

 

If you volunteer for this area, you will be primarily responsible for catering during meals period (lunch and dinner) as well training areas. For this area, we expect you to have an overview and a sense of order and cleanliness and experience or student in this field in most appreciated.

If you volunteer for this area, you will be assigned with the responsibility of the preparation of the materials related to the European Championships to be released in electronic media and hard copy (newspapers, magazines, etc.). You will also assist the LOC in materials’ gathering, in order to make this available on the event database for accredited journalists.

If you volunteer for this area, you will be assigned to different places in the competition hall, getting the “latest news” on the event.  We need Social Media volunteers who have a good grasp of their mobile and know all the features of Instagram and volunteers who can write well and want to try their hand as a journalist and assistant photographer. If you pre-register with the communications team, then we’ll talk about what specifically you want to do and what you’re good at, before assigning you specific roles. Journalist students are most welcome for this area.

If you volunteer for this area, you will support the resident team from the D’Coque or any of the companies that are doing the lights, sound, video, scoring production. Your support as a technician in this area will give support to the company’s technicians on any needed help regarding installation, troubleshooting and control over the quality of sound, light, video equipment or scoring systems.

If you volunteer for this area, and you are an IT specialist you will support the scoring company as well as the LOC will the IT solutions and troubleshooting, as well as give support to the LOC rooms that might need assistance with copy machines, CPU, internet connections on personal PC from the FIG and EG members.

If you volunteer for this area, you will assist the Host Broad Casting manager will all the information requested in order for them to have all the updated information and the latest information available.

If you volunteer for this area, you will assist emergency medical services and physiotherapist, present at the locations of sports and/or the hotels. You will also be called on to escort to the specific doctors and emergency calls, assistance in monitoring during conducting of doping tests.

If you volunteer for this area, you should present a project to the LOC on how this European Championships can have a role to play in the local community and what can we (LOC) do to improve our sustainability in this event.

We will help you in getting any official support that you might need for this project and we will make sure that you will get maximum visibility for it during the event.

If the project involves any candidature to any funds for the development of the process, the LOC will analyze the project and support it, if there is a significant interest in associating to the cause.
